Let’s Bring Your Group Together
Whether you’re gathering a few close friends or coordinating a larger celebration, we’ll help you create a journey that feels effortless from the very first conversation.
What qualifies as group travel?
A group journey typically includes 8 or more travelers coordinating flights, accommodations, and shared experiences around a common purpose — whether that’s a family reunion, milestone celebration, friends’ getaway, or special-interest trip.
For larger groups, additional planning tools, contracted space, and exclusive experiences often become available — and that’s where thoughtful coordination makes all the difference.
How is group travel different from booking individually?
Group travel is about alignment and ease, not just numbers.
With Latitude & Leisure, group journeys may include:
- Coordinated arrival and departure planning
- Group-only rates or amenities when available
- Shared experiences such as private tours or dedicated guides
- A centralized communication hub for the entire group
- Flexibility for travelers who want togetherness and independent time
You enjoy the benefits of traveling together — without the stress of managing details on your own.
How does communication work for group trips?
Each group receives a dedicated private group webpage, designed to keep everything organized and accessible.
This may include:
- A master itinerary view for the group
- Real-time updates and important travel notices
- Optional app-based access for travelers who prefer mobile itineraries
- A single source of truth for schedules, documents, and reminders
No long email chains. No confusion. Everyone stays informed — before and during travel.
Will a Latitude & Leisure advisor travel with the group?
Most group journeys do not require an advisor to travel with the group — and in many cases, travelers prefer it that way.
Instead, we focus on:
- Detailed pre-departure planning
- Seamless coordination behind the scenes
- Clear communication channels during travel
- Trusted local partners and guides at your destination
If an escorted experience is requested or required, that can be discussed during planning — but our role is to ensure everything works smoothly whether we’re physically present or not.
What are contracted rooms, and how do they work?
For some group journeys, accommodations may be secured through a contracted room block—a set number of rooms reserved specifically for your group, often at a negotiated rate or with added benefits.
Contracted rooms can offer advantages such as:
- Consistent pricing for the group
- Priority availability during peak travel periods
- Potential added value like breakfast, upgrades, or amenities (when available)
- Greater protection against hotels selling out
In other cases, a courtesy (non-contracted) room block may be the better fit. This option allows rooms to be held without a formal contract, offering more flexibility but fewer guarantees around rate and availability.
We’ll work closely with you to understand your group’s size, timing, destination, and priorities—and recommend whether a contracted or courtesy room block will best support your plans. Once any reserved inventory is filled or released, additional travelers may book accommodations based on current availability and pricing.
Our goal is always to balance flexibility, value, and peace of mind—so your group can move forward with clarity and confidence.
Can travelers opt out of group activities?
Absolutely.
The best group trips allow space for both connection and choice.
While some experiences may be shared highlights, itineraries are designed to allow:
- Optional activities
- Free time built into the schedule
- Different pacing for different travelers
Togetherness should feel natural — never forced.
Are special experiences available for groups?
Often, yes. Depending on destination and group size, we may arrange:
- Private tours or guides
- Exclusive dining experiences
- Group transportation
- Special access or behind-the-scenes moments
These enhancements are discussed during planning and tailored to your group’s interests, priorities, and budget.
When should we start planning a group trip?
Ideally, group planning begins 6–12 months in advance, especially for:
- Peak travel seasons
- Large or multi-generational groups
- Destinations with limited availability
- Trips requiring contracted space or special experiences
Earlier planning provides the greatest flexibility — and the best experience for everyone involved.
